Types of information we collect

Website usage data: 
Visitors may remain anonymous when visiting AIDH websites. We will not collect any personal information about individuals unless that information is required to provide a particular service.

• search terms and pages visited on the website;
• date and time when pages were accessed;

AIDH will:

• use and disclose personal information only for our primary functions or a directly related purpose, or for another purpose with the person’s consent.

There are many aspects of our website which can be viewed without providing personal information. However, in order to access or use some services we provide you may be required to submit personally identifiable information. This may include but is not limited to:

• Contact information: This may include your name, email address, postal address, or phone number.
• Membership information: Membership type, payment details, professional information and background such as role, employer, skills or experience, education, other industry memberships held, registration number (i.e. AHPRA) and areas of interest.
• Event attendee information: In addition to contact information, we may collect other information necessary to provide services to event attendees and presenters, such as dietary and accessibility requirements or professional biography, with explicit consent.

How we use personal information

AIDH uses the personal information it collects or is provided with solely for our primary functions, such as to:

• process applications such as membership, Fellowship or certification
• manage registrations for AIDH events, educational courses or other related products and services
• provide information about AIDH activities, products and services
• send membership, marketing and fundraising materials, where individuals have consented to receive them
• improve our websites and services, or
• comply with legal and regulatory requirements.

Disclosure of personal information
We will never disclose personal information to third parties, except in the following circumstances:

• with the information provider’s consent, to service providers who assist us in providing our services, such as payment processors and marketing agencies, or
• to comply with legal and regulatory requirements.

We may from time to time enter into contractual agreements with other organisations to provide services or benefits to AIDH stakeholders. On occasion, personal information will be released to those contracted organisations for the purposes that the contract was entered into. Individuals will be advised of this and will be given the opportunity of opting out of receiving communications from these organisations, or at any time by contacting AIDH.

We will never sell, trade, lease or rent any personally identifiable information to other companies except as stated and agreed when collecting information from members or other individuals.

AIDH reserves the right to communicate with members about the essential affairs of the organisation.

Data quality and security of personal information 

We take all reasonable steps to:

• make sure that the personal information we collect, use and disclose is accurate, up to date and complete and in the case of use and disclosure relevant
• protect the personal information that we hold from misuse, interference and loss and from unauthorised access, modification or disclosure, and
• destroy or de-identify information that is no longer required.

Individuals can also assist AIDH to keep personal information up to date by letting us know about any changes to personal information, such as new email addresses or phone numbers. We provide the opportunity and means for personal information to be accessed on request by the individual concerned and amended where appropriate.

We store personal information in a number of ways, including in electronic databases and contact lists. AIDH maintains all personal information in controlled environments that are secured against unauthorised access. Steps taken to secure personal information from unauthorised access, modification or disclosure include ICT security measures (such as encryption, secure servers, endpoint monitoring, anti-virus software, firewalls, authentication and authorisation controls), secure office access, staff training and workplace policies.

Accessing Your Personal Information
You have a right to access your personal information, subject to exceptions allowed by law. If you would like to do so, please let us know. You may be required to put your request in writing for security reasons. The Australasian Institute of Digital Health reserves the right to charge a fee for searching for, and providing access to, your information on a per request basis.
